To cover: 52 weeks maternity leave initially (possibly leading to permanent role).
Accountability:
The Receptionist/Administrator will be under the direct supervision of the Centre Manager, working alongside other administration staff and as part of the Front Office Administration Team.
Main Duties:
To liaise efficiently, clearly and effectively with learners, clients and visitors to the centre and with other team members.
To deliver one to one numeracy support to learners.
To answer telephone and all other enquiries including post and e-mails with accuracy and expeditiously.
To demonstrate initiative and competent IT skills to maintain data stored both in paper and electronic files.
To focus on SMART targets and targets identified independently to process work load.
To form and maintain healthy links with service users and contractors ensuring that needs are met by demonstrating excellent communication skills, written and spoken.
Maintaining an office diary clearly and effectively.
Transferring data accurately from one medium to another i.e. from written notes to electronic data.
Feeding messages back to different departments and accurately cross checking departmental data.
Essential Qualities:
The ability to communicate effectively both verbally and electronically with a wide range of service users.
Have excellent maths skills.
A methodical approach to tasks and a flexible approach towards administration systems.
Good keyboard skills.
Ability to work with service users from a diversity of backgrounds.
Understand the necessity for confidentiality.
Understand the role of teamwork in providing a quality service.
Apply accuracy when dealing with records, both electronic and paper based.
