SCL Elections is a research agency working at the intersection of social science, behavioural psychology, psephology and communications. We are headquartered in London but operate all over the world.

We are recruiting for an Office & Administration Coordinator who will be responsible for making sure everything of an administrative and ‘back-end’ nature runs smoothly so that SCL’s professional staff can focus on producing high-quality work. The Coordinator must be highly responsible, capable of exercising independent judgment (especially when handling sensitive information) and flexible enough to wear many hats: you will manage the Director’s and others’ diaries and travel; do occasional editing; support our Finance Officer; order office supplies and maintain printers/copiers; and oversee all other routine administrative matters.

This position is extremely demanding and requires top-notch time management skills as well as attention to detail. You should have a decent amount of experience in a similar role and a critical mindset that means you’re comfortable asking both difficult and basic questions. You will also need to be able to impose yourself on our professional staff so that the critical needs of the business are not put to one side.

Responsibilities will include:

Office Management

> General administration, including HR-duties, Diary management and meeting arrangements for the Director
> Arranging personnel meetings, preparing agendas and minute-taking
> Providing operational support to the research, design and project teams
> Co-ordinating the design, print and dissemination of publications ranging from reports to proposals and promotional literature
> Basic maintenance of the company’s websites
> Liaising with suppliers and contractors and issuing external contracts
> Organising travel

Finances

> Raising sales invoices and processing purchase invoices
> Processing all bills, direct debits and expenses claims
> Book-keeping, managing cashflow and quarterly VAT returns
> Responsibilities for company cards, petty cash and paypal account
> Supporting the Director with financial and budget related activities

This is an excellent opportunity to be an integral part of the team at one of the world’s most exciting organisations. The role is full-time, salary is dependent on experience and you may spend periods of up to ta few weeks abroad.
