The Private Healthcare Information Network (PHIN) is a not-for-profit organisation that collects, analyses and publishes information about independent healthcare. Our aim is to raise quality standards and help patients to make better-informed choices.

PHIN are seeking an Office Administrator to provide full administrative support to the Chief Executive (CE) and the Director of Finance and Company Secretary covering governance, structure, finance, HR and Health & Safety.

Responsibilities include:

  • Meeting and event arrangement and diary management ensuring that the CE’s time is used effectively
  • Provide Secretariat duties for meetings as requested, including weekly and monthly staff meetings, Board and Finance & Risk Committee meetings 
  • Assist the Director of Finance and Company Secretary with Human Resource duties such as reviewing and updating HR documents and policies within the Staff Handbook and best practice guides 
  • Maintenance of personnel files, including staff annual holiday entitlements and sickness records and escalation of concerns to Senior Managers o Coordination of monthly payroll amendments 
  • To develop, maintain and review administration and all office systems to achieve maximum efficiency 
  • Organise and maintain records and files including contracts and legal documents
  • Manage office facilities and office equipment o Assisting with the planning and coordination of organisational events
  • Coordinate the production and publishing of PHIN’s ad-hoc analysis of private and independent hospital care
  • Day to day assistance in the management of the PHIN’s financial processes and tasks

To be successful in this role, you will have relevant experience of working at an executive level and building and maintaining rapport with stakeholders. You will have the ability to establish priorities and meet tight deadlines, and to operate in a multi-functional role. An understanding of the independent health care system would be advantageous, although not essential in order to be considered for this role. This role would suit someone who is seeking to utilise their broad knowledge to support the Chief Executive and staff within PHIN to contribute to the forward planning, development and ultimate success of the organisation.
