Job Details

Your time will be divided between data management and general administration. Responsibilities will include:

Administration
• Client liaison: telephone liaison with senior business leaders and academy trust chairs to welcome them to our service, arrange meetings and share relevant materials.
• Executive support for the Head of Academy Ambassadors and team: preparing briefing papers, research and support.
• Business support: running and improving our key systems, including support for recruitment by working on and posting role descriptions to help us to attract high-calibre volunteers.

Data Management
• Scrupulous data entry and record-keeping using the ‘Salesforce’ database.
• Extracting and collating information and data from Salesforce.
• Providing a high level of quality assurance of data on Salesforce and ensuring that records are GDPR-compliant.
• Reviewing and managing expired data on the Academy Ambassadors website and cloud-based system.
• Database improvement: working with a technical expert to ensure the database system is improved to respond to business needs and make our systems more efficient.

Events
• Event administration including sending invitations, recording responses, following up with attendees and responding to email and telephone enquiries

This job description is not exhaustive and post-holder may be required to undertake other reasonable duties commensurate with the role as requested by their line manager.

Person Specification

The role will suit someone who enjoys organisational work and has excellent attention to detail. You will need to be able to grasp processes quickly, follow desk instructions carefully, & spot when something isn’t working and needs to improve. Excellent command of grammar and spelling is essential.

Essential skills and experience:
• Excellent oral and written communication skills
• Accuracy and attention to detail, particularly in data entry
• IT skills, including Word, Excel, Outlook, PowerPoint
• Time management – able to work to tight deadlines
• Experience in an office environment
• Experience handling business phone calls in a professional manner
• CRM or database experience is essential, Salesforce database experience is desirable.
• Ability to work as part of a team or on own initiative
