Job Details

We are looking for an experienced manager to oversee Onward’s office and finances. We expect the role to be part time, and welcome applications from part-time and flexible workers and returners from parental leave. You will be based at Onward's offices in 4 Millbank in Westminster.
Your responsibilities will be split between two key functions:

1. Management of the Onward office

You will be in charge of day to day office services by organizing office operations, including:
Managing office correspondence

  • Dealing with landlord enquiries and Westminster Council on business rates
  • Getting quotes for best value, reviewing and approving supply purchases for Onward
  • Designing and maintaining filing systems
  • Maintain printer and other office equipment and furniture
  • Maintain office efficiency by planning and implementing systems, layouts, and equipment
  • Oversee the onboarding of new staff members including office processes and staff handbook
  • Contribute to team effort by helping to organize staff functions
  • Help set up and attend some Onward events
  • Manage and keep an accurate register of staff holidays
  • Manage staff expense claims

Management of Onward’s finances

You will be responsible for the day to day financial health of Onward. This includes:

  • Accurate monitoring of the day-to-day financial operations within the company, such as monthly payroll, invoicing, expense claims and payments
  • Oversight of all rent, service charges and rates in connection with office premises
  • Work with outside organisations such as accountants, bookkeeping services and banks for tax preparation, auditing, banking and other financial needs as necessary
  • Track the company's financial status and performance to identify areas for potential improvement
  • Seek out methods for minimising costs and financial risk to the company
  • Monitor donations and aid donor management by monitoring donor requests, receipts and thank you correspondence
  • Provide necessary financial information including monthly management accounts and six month cash flow forecasts
  • Review financial data and work with accountants to prepare annual reports
  • Present financial reports to board members and management (and perhaps potential donors) in formal meetings
  • Understand and adhere to financial regulations and legislation.
  • Maintain petty cash
