Job Details
Key responsibilities:
- Open, handle and action email and post.
- Management of MPs constituency diary under supervision of Office Manager.
- Compilation of briefing packs.
- Handle administrative arrangements for meetings with members of the public/MP surgeries.
- Photocopying, filing, record-keeping and typing/writing correspondence.
- Minute taking.
- Attend constituency meetings as appropriate.
- Lead on establishing a programme of events in the constituency such as surgeries and ‘Meet your MP’ - this may include venue research and bookings; compiling and managing guest-lists; liaising with suppliers; and providing on-the-day event support as required.
- Ensure enquiries are dealt with sensitively and confidentially.
- Efficient data and file management to ensure the office complies with the data protection legislation.
- Establishing and managing relationships with key stakeholders, for example local community organisations, local businesses and local media
- Provide support to the MP when undertaking community projects and engagement.
You may occasionally be required to:
- Liaise with suppliers regarding office supplies and security.
- Monitor and update a social media and online presence in the constituency. Produce online graphics and video content, as well as publicising surgeries and news alerts etc.
- Manage, monitor and action social media enquiries. Ensure all enquiries are dealt with in a timely manner.
- Support policy and casework activity as required, further developing your skills, knowledge and experience in these areas.
- There may be a requirement for the role holder to work outside of the normal working hours and travel for work occasionally.
Essential Skills:
- Excellent interpersonal, oral and written communication skills, with a polite, confident and empathetic approach to public engagement.
- Excellent IT skills, including the ability to use a casework tracking system (training given), MS Office Applications, Word, Excel and Outlook.
- Motivated to work independently as well as the ability to demonstrate patience and empathy.
Desirable Skills:
- Experience of casework.
- Experience of Social Media management.
- Experience of organising and running events.
- Knowledge of the Macclesfield Constituency.
