Job Details
The Administrative Assistant will help the MP and office run smoothly. The role will involve managing the office budget, supporting the MP's diary, looking after office arrangements, organising meetings and events, helping with correspondence and ensuring the office follows Parliamentary rules and procedures.
The role will work across both the Westminster and constituency offices, and is part-time for 3 days a week (21 hours per week either as 3 full days or spread out over 5 days).
Key Duties & Responsibilities
Finance, Budget & Compliance
- Budget management: Help manage the office budget and make sure spending follows IPSA rules.
- Expenses & payroll: Submit expense claims through IPSA Online, help manage staff payroll and keep accurate financial records.
- Data protection: Help ensure that constituent information is handled securely and confidentially, in line with GDPR and Parliamentary requirements.
Diary & Executive Support
- Diary management: Help manage the MP's busy diary, balancing Parliamentary commitments such as debates and votes with constituency meetings, surgeries, visits and events.
- Administrative support: Help with correspondence, briefings, travel arrangements and other tasks for the MP as required.
- Meetings & events: Organise the practical arrangements for surgeries, meetings and public events, including venues, guest lists, suppliers and on-the-day support.
Office & Operations
- Office management: Help manage the Westminster and constituency offices, including IT, health and safety, security and general office arrangements.
- Suppliers: Manage relationships with suppliers for office equipment, supplies, maintenance and other services.
- Projects: Help deliver projects that improve how the office works and the service provided to constituents.
Communications & Correspondence
- Inbox management: Help organise and manage the office inbox, ensuring correspondence is dealt with efficiently and passed to the right member of staff.
- Correspondence: Help prepare and send responses to constituents and other correspondence as required.
Working Conditions
- Part-time (21 hours per week either as 3 full days or spread out over 5 days), with occasional requirements to work outside normal office hours and travel between the Westminster and constituency offices as operational needs dictate.
