Job Details
Rachel is looking for a highly organised person to join her team as a Senior Adminstrative Officer.
The successful candidate will be based in the Luton South constituency office and will be primarily responsible for dealing with incoming emails, correspondence and phone calls, ensuring they are responded to or allocated to the appropriate caseworker. They will also oversee Rachel's busy diary, working alongside the Constituency Support Manager, as well as keeping track of the team planner ensuring outstanding actions are completed by the relevant member of Rachel's team. There will also be day to day administrative tasks, including data input.
Key skills:
Excellent time management skills, able to manage multiple tasks and deliver activities to a tight timescale
Able to manage and organise a busy email inbox
Strong customer service skills and ability to communicate with a range of different people both in writing and over the phone
A keen eye for detail with excellent written English
A team player with a flexible approach
Key responsibilities:
Manage and monitor incoming calls, emails, face to face and social media enquiries, dealing with cases that do not need to be transferred to a caseworker. Ensure all enquiries are dealt with in a timely manner
Engaging professionally, and with care and integrity, with members of the public, through a variety of methods, ensuring all enquiries are dealt with sensitively and confidentially
Database management and using office software (e.g. Microsoft Office) to handle administrative cases
Manage Member's diary commitments
Resource and project management responsibilities, including minute taking
Update social media and online presence content where required
There may be a requirement for the role holder to work outside of the normal working hours and travel for work occasionally
Upon appointment you will be required to apply for security clearance, undertaken by the Security Vetting and Pass Office. See Members’ Staff Security Clearance page for further info. MPs generally pay staff in accordance with IPSA guidelines.
