Job Details
You will be a key aid to Jenny, taking on responsibility for supporting Jenny’s diary, managing a busy office, line managing staff, and running a budget. You will play a vital role in ensuring Jenny's key priorities and campaigns are driven forward, and supporting the day to day commitments of an MP.
You do not have to be experienced in all of the items below, but you must have experience in managing teams, budgets and be confident liaising with external stakeholders. Training and support can be provided.
We are looking for a full time staff member, however 4 days p/w (32 hours) would be considered.
Key Responsibilities
1. Manage Jenny’s team based in Felixstowe, ensuring that her key priorities, goals and commitments are proactively driven forward across the team’s work
2. Lead and maintain a highly professional administrative support function
3. Support the MP in managing the team overall and team development, HR, wellbeing, EDI, and collaborative working culture
4. Oversee the effective response to all enquiries and casework, including service and quality standards, allocation of work across the team and effective use of IT to deliver, monitor and learn from casework
5. Manage all aspects of the budget and purchasing, keeping Jenny informed of all relevant financial matters and liaising with IPSA.
6. Oversee online communications including the website and social media
7. Manage the constituency office including the relationship with the landlord, suppliers, phone service etc, and ensuring health and safety in the workplace
8. Deal with security matters, keep abreast of security guidance, maintain the security system, liaise with external bodies as appropriate
9. Take ownership of certain casework as needed
10. Deal with complex queries and complaints on Jenny’s behalf, including drafting and signing letters
11. Oversee the organisation and delivery of constituency events such as surgeries, coffee mornings etc
12. Occasional work outside of normal working hours
Requirements
• Previous experience working as a Senior Administrator/Office Manager and diary management
• A genuine interest in helping constituents
• Highly motivated, with a positive can-do attitude and ability to work independently and collectively as part of a small team
• Outstanding written and verbal communication skills
• Budget management experience
