Job Details

The Executive Assistant (EA) will provide comprehensive administrative and organisational support to The Rt Hon Sir Grant Shapps. This role requires a highly organised, discreet, and proactive individual who can manage a busy and fast-moving diary, coordinate engagements, oversee correspondence, and ensure the smooth running of all aspects of Sir Grant’s professional commitments.

Working closely with the wider Private Office team, the EA will act as a key point of contact for the office balancing efficiency, professionalism, and sound judgment at all times.

Key Responsibilities

Diary and Schedule Management

  • Manage a complex and dynamic diary of business meetings, events, and engagements.
  • Anticipate priorities, resolve scheduling conflicts, and ensure effective time management.
  • Coordinate travel arrangements, logistics, and briefing materials for meetings and trips.

Administrative Support

  • Provide high-quality administrative support to Sir Grant.
  • Draft, proofread, and prepare correspondence, briefings, and presentation materials.
  • Process invoices, expenses, and oversee general office administration.
  • Book meeting rooms and ensure appropriate facilities, refreshments, and equipment are arranged.
  • Manage shared office calendars and ensure meeting details are accurately recorded and circulated.
  • Offer administrative support to the Chief of Staff where required.

Event and Engagement Coordination

  • Plan and coordinate meetings, visits, and events.
  • Manage logistics, guest coordination, and follow-up actions.
  • Provide on-site support for meetings and key events when necessary.

Communications and Coordination

  • Liaise professionally with senior stakeholders across business, media, and public life.
  • Manage incoming and outgoing correspondence, ensuring timely and appropriate responses.
  • Support the preparation of briefings, summaries, and talking points for meetings and external engagements.
  • Ensure meeting action points are followed through to fruition.
  • Assist with the implementation of the office’s communications and social media strategy, including drafting or coordinating content and monitoring engagement.

Team and Office Support

  • Work collaboratively with the wider team to ensure smooth day-to-day operations.
  • Provide cover and administrative assistance across the office when needed.
