Job Details
The Pilgrims of Great Britain, established in 1902, is the UK’s oldest Anglo-American society. Its mission is to foster fellowship among Anglo-Americans in Britain and strengthen the “Special Relationship” between the UK and the US.
The organisation is led by a President (figurehead) and a Chair (day-to-day control), supported by an Executive Committee of 18 members and five sub-committees. The Director plays a pivotal role in supporting these structures, managing around ten committee meetings annually (mostly online) and the in-person Annual Meeting.
The duties of the post are varied and require good administrative skills, attention to detail and social skills to ensure that the members of the organisation are well cared-for. There is an active programme of events, with at least twelve events each year, attended by members and guests. The Director is involved in the planning and execution of all events, and is required to attend all events, usually held in central London, often in the evening.
Key Responsibilities:
- Oversee daily communications and engage with the membership.
- Prepare agendas and minutes for five sub-committees.
- Manage the Society’s website, mailing list, database, and correspondence.
- Co-ordinate financial management, including liaising with accountants, maintaining SAGE, and handling banking.
- Plan and execute at least twelve annual events, ensuring logistics, catering, and venue arrangements, and personally attend each event (primarily in central London, often evenings).
Required Skills & Qualifications:
- Excellent English, with an understanding of protocol and formal correspondence.
- Strong administrative and organisational skills, attention to detail.
- Experience managing events for 50–200 people, with knowledge of London venues and logistics.
- Financial literacy, including budget management and use of Excel and SAGE.
- Proficiency with digital office tools and cloud-based CRM/database platforms (e.g., Airtable, Attio).
- Familiarity with Squarespace and other digital platforms.
- Initiative and ability to work independently.
- Willingness to manage evening events (two per month, September–June)
Success Factors:
- Strong interpersonal skills, social confidence, and a good memory for individuals.
- Interest in international relations and individual contributions.
