Job Details
Gill German MP is seeking a self-starting, hands-on Administrative Officer to join her constituency team in the Rhyl office. This varied and rewarding role will help the office run efficiently.
You will liaise with suppliers and maintain office supply orders and equipment, reconcile finance claims, ensure the office is responsive to constituents and stakeholders, liaise with the landlord team for everyday issues, and support the Casework team with surveys and public events, organising constituency meetings and ensuring letters, mailings, telephone calls and emails are handled efficiently.
In essence, you will support the Head of Office in making sure the office is effective in providing the support needed to enable Gill and her team to fully represent the constituents of Clwyd North.
This is an office-based role and you will need to live within commutable distance of Rhyl.
Key Responsibilities:
- Coordinate the operation of the constituency office, liaising with stakeholders and making thing work better
- Maintain efficient processes, ensuring good planning of office supplies, timely reconciliation of claims and orders, and efficient use of time to support the team
- Work with the Head of Office to ensure regulatory requirements are carried out accurately, on-time and that processes for staff travel, claims, accommodation booking, etc. are clearly communicated and followed.
- Ensure robust stock and materials ordering and control
- Organise surveys, mailings, and delivery of campaign materials to constituents to support the MP’s work
- Ensure enquiries are handled effectively, whether in writing, by telephone, email or website enquiries, and handed to the relevant team member for action.
- Support the MP with occasional attendance at meetings, surgeries, and events
Skills & Attributes:
• Experience of managing / supporting an administrative office
• Excellent interpersonal and project management skills
• Proactive and organised, able to work independently
• Motivated with a strong work ethic
• Great verbal and written communications skills
Knowledge of the constituency would be an advantage as would Welsh language skills (not essential). The successful applicant will be in sympathy with the values of the Labour party and labour movement.
