Job Details
Jonathan Hinder MP is looking for an Office Manager to manage his office(s) in Pendle & Clitheroe.
Key responsibilities
- Triage the MP’s inbox throughout the day, ensuring work is distributed and actioned.
- Oversee correspondence on Jonathan’s behalf, with stakeholders in Pendle & Clitheroe and beyond.
- Full responsibility for managing Jonathan’s constituency diary, making strategic decisions about allocation of time and balancing constituency and parliamentary duties.
- Organising Jonathan’s visits, ensuring he is fully briefed ahead of each and completing follow-up actions.
- Project management for high priority campaigns and other office priorities to ensure progress is being made, and tasks are allocated and completed efficiently.
- Using our CRM system to track and analyse all contact with constituents to ensure the team are delivering the best possible experience.
- Occasionally attending meetings on Jonathan’s behalf with local stakeholders.
- Budget plan and review, monitoring office spending, and ensuring all expenditure meets the highest level of scrutiny.
- Administering all parliamentary expenses, such as office rental and travel, working closely with the Independent Parliamentary Standards Authority.
- Dealing with security matters, keeping abreast of security guidance, maintaining security systems, liaising with external bodies as appropriate.
- Organising office equipment and creating a pleasant working environment, troubleshooting any operational issues as required.
- Subject to candidate profile and experience, there may be the opportunity to line manage a small number of staff.
Skills required
- Experience working in a PA or a senior administrative role is absolutely essential.
- Exceptional interpersonal skills, both in relation to constituents, stakeholders, and colleagues.
- Attention to detail and ability to juggle lots of information and requests on a daily basis.
- The highest standard of written communication.
- Willingness to work the occasional evening or weekend day is required.
- Broad alignment with, and understanding of, Jonathan’s political views is required.
- Experience of working in politics is not essential, but you will be expected to be politically knowledgeable and keen to learn quickly.
- The ability to take a good photograph would be welcome, but is by no means essential!
