Job Details
Richard Quigley MP is seeking a highly organised, proactive, and reliable Executive Officer to provide administrative and executive support within his busy constituency office.
You will provide support across the team, coordinating visits and meetings on the Island, handle routine enquiries and correspondence, assist with casework, and support wider projects.
This is a rewarding role, requiring excellent organisational skills, attention to detail, and the ability to prioritise effectively.
The post is offered on a part time basis (2-3 days) on a 2 month Fixed Term Contract (with possibility of extension), working from the constituency office in Newport. There is some flexibility with hours and days, however Tuesdays would need to be one of the days worked.
Key responsibilities
• Provide executive support to the MP and office manager
• Manage the MP's diary commitments, particularly constituency meetings and visits
• Database management and using office software (e.g. Microsoft Office) to handle administrative cases
• Efficient data and file management to ensure the office complies with the data protection legislation
• Engage professionally, confidentially and with care and integrity with members of the public, through a variety of methods
• Ensure enquiries are dealt with sensitively and confidentially
• Maintain positive on-going relationships with members of the public, organisations in Westminster and constituents
• Manage incoming calls, face-to-face enquiries, and emails, dealing with cases that do not need to be transferred to a caseworker
• Ensure all enquiries are dealt with in a timely manner
• Note taking
• Provide administrative management in relation to MP’s expenses scheme via IPSA Online
• Resource and project management responsibilities
• Supervise T-Level students and work experience placements as required
• There may be a requirement for the role holder to work outside of the normal working hours and travel for work occasionally
