Job Title: Finance & Operations Assistant

Job Details
Your duties will include:
Finance
• Process purchase invoices, supplier payments and expenses.
• Raise sales invoices and monitor outstanding payments.
• Assist with bank reconciliations and maintain accurate financial records.
• Support monthly management accounts preparation.
• Maintain finance spreadsheets, bookkeeping, cashflow and accounting systems.
• Assist with budget monitoring and expenditure reporting.
• Support the preparation of year-end accounts and external audits.
• Maintain financial filing systems and supporting documentation.
• Process corporate credit card reconciliations.
• Liaise with suppliers regarding invoices and payment queries.
Operations
• Be the lead on all HJS physical and online events – working closely with the (but ultimately having responsibility for) Research and Communications Departments to ensure smooth and successful delivery of the events.
• Support the day-to-day running of the office, including overseeing facilities and office supplies.
• Support health and safety compliance and office risk assessments.
• Help organise internal meetings, events and board meetings.
• Maintain organisational records and filing systems.
• Support business continuity planning and operational resilience.
Governance and Compliance
• Assist with Board and Committee administration.
• Maintain governance records and statutory filings.
• Support GDPR compliance and records management.
• Assist with organisational policy reviews.
• Support compliance with Charity Commission and Companies House requirements (where applicable).
Other responsibilities
• Support the COO to monitor KPIs, introducing clear metrics for monitoring output and impact month on month.
• Support where required the delivery of events and conferences.
Candidate must have:
• Experience using accounting software (e.g. Xero, Sage, QuickBooks or similar).
• Experience using Salesforce (or a similar CRM).
• Experience in an administrative, finance (bookkeeping) and operations support role(s).
Helpful (but not essential) experience includes:
• Experience working within a charity, not-for-profit organisation or think tank.
• AAT qualification or working towards an accounting qualification.
• Knowledge of UK charity governance and compliance.
